RRA Hosted Events

The only coordinator for all RRA hosted events is Misty Larson

Events are rain or shine. In cases of inclement weather and we deem it to be unsafe to have the event we will reschedule for a future date and all vendor fees will be forwarded to the new date.

The event host, coordinator and venue are not responsible for vendor sales success at our event. Vendor is responsible to promote and advertise, by sharing on public pages and listing the event anywhere deemed fit. PDF fliers are provided for you to share and print.

You are permitted one 10×10 canopy (unless larger space purchased or discussed with event coordinator).

Event is outdoors- dirt, grass and bark ground covering – Takes place rain or shine, unless inclement weather possesses a danger to vendors, guests or venue then we reserve the right to cancel and reschedule.

Vendor is responsible for bringing everything they need for the event – we do not provide canopies, tables, chairs, weights or lighting.

NO POWER IS PROVIDED – generates are not allowed, contact Misty if you have any questions.

All canopies must be weighted – please have a minimum of 25 pounds per leg. The winds can be unpredictable please be prepared for it.

If a multi-day event you will be allowed to leave your set-up overnight security will be provided. Management assumes no responsibility and liability for any merchandise left within venue grounds.

If you are cooking onsite – please be sure to have a fire extinguisher and a trap to cover the ground where your equipment is being used.

Set-up will begin no earlier than 2 hours prior to the event start time. Please be sure to allow yourself enough time to be fully set up and ready to go by the event start time.

Please arrive at your assigned time, in order to keep set-up flowing and allow every ample time to be set up and ready at the start of the event. If you arrive early you will need to wait until the scheduled time.

Please check in with Misty when you arrive. We will show you where your space is and also give you any other required information.

Sometimes adjustments have to be made after vendor placement map is released so it is important that you check in when you arrive and confirm you are still located in the same location.

DO NOT breakdown until event has ended. If you sell out, please place a sign informing guests and enjoy the festivities. While we know situations can arise and we will try to accommodate on a needed bases, please speak with Misty prior to packing anything up.

You are responsible for clean-up of your area – all trash is to be in trash bags and placed in trash bins. If you are a food vendor and are cooking with charcoal or oil, you must take it with you when you leave or see Misty to be shown where to properly dispose of it if the option is available. DO NOT throw charcoal or oil on the ground or in the trash cans, if you are caught doing this you will be fined by the venue owner and will not be allowed to attend any future events.

**You will be directed on where vendors are to park. Please move your vehicle as soon as you have completed your unloading. ***

Vendor fees are due upon acceptance. You will receive a message via Instagram messenger acknowledging your acceptance. We will also follow your Instagram page and request that you follow @ruff_road_adventures and the event venue.

Your space is not secured until your vendor fee has been received via one of the following methods.

We accept venmo and zelle for vendor fees. If you need another form of payment please reach out to Misty for arrangements. 

Vendor fees are non-refundable and non-transferable. No exceptions. Please only submit this application if you are prepared to register and pay for you booth fee and are sure you will make it to the event

While we do understand that things happen, if you are unable to make it for any reason it is your responsibility to communicate with the coordinator. If you are a no show and/or no communication, you will be ban from future events.

We limit the types of vendors to one of each type but do allow multiple with similarities in certain categories. Such as jewelry they may be multiple as long as the products are different. But do our best to limit vendor types to not limit sales because of too many of the same. MLMs are strictly limited to one vendor per company. If you have questions, please contact Misty prior to submitting your application.

You will only be approved for the items listed on your application, if you are found to add items without approval you will be asked removed unapproved items immediately from your display.

We support all vendors, however vendors that are minors are required to sign up through their legal guardian and have adult supervision at the event.

Event Coordinator and Event Host reserves the right to refuse business to anyone or organization.

The event coordinator and event host are not responsible for vendor sales success at our event. It takes all vendors working together in order for a successful event.

We advertise through a number of avenues on and offline, such as websites and social media, as well as handing out flyers to local business and at local event.

You are signing up for the event of your own free will and participate at your own risk.

Vendor is required to obtain all required license(s), permits(s), and to provide a copy when requested.

Vendor must have liability insurance and be responsible for his/her own action and/or liability resulting from the operation of his/her exhibit. Vendor is liable for all liability inside as well as six feet away from his/her booth. 

Vendor is responsible to collect and report all sales tax generated at the show as required by local, state, and/or federal governmental agencies.
